Privacy Policy

Your privacy matters to us. This Privacy Policy explains what information CaddieLabs LLC collects, how we use it, and what rights you have. We have written it in plain language because we believe you should actually understand it.

CaddieLabs LLC is a Colorado limited liability company operating the CaddieLabs golf coaching platform at caddielabs.golf.

1. Information We Collect

1.1 Information You Provide

When you create an account and use CaddieLabs, you provide us with:

  • Account information: your email address and password (stored as a secure hash, never in plain text)
  • Golf profile: your handicap index, average scores, fairways hit percentage, greens in regulation percentage, average putts, scrambling percentage, and handedness
  • Goals: your stated golf improvement goals
  • Session data: your responses to check-in questions, including any notes you add
  • Round data: scores, putts, course name, and holes played when you choose to log a round
  • Communications: any messages you send to our support team

1.2 Information Collected Automatically

When you use the Service, we automatically collect certain technical information including your IP address, browser type, device type, and pages visited. We also use cookies and similar tracking technologies as described in Section 6.


2. How We Use Your Information

We use the information we collect to:

  • Generate personalized golf coaching sessions tailored to your game
  • Adapt future sessions based on your check-in responses and round data
  • Maintain and improve the Service
  • Process payments and manage your subscription
  • Send transactional emails such as account confirmation and payment receipts
  • Track affiliate referrals through Rewardful
  • Respond to your support requests
  • Comply with legal obligations

We do not use your information to serve advertisements. We do not sell your information to third parties. We do not share your personal information with other users.


3. Third-Party Services

3.1 Anthropic (AI Session Generation)

When you request a coaching session, CaddieLabs sends relevant information from your profile, session history, and check-in data to Anthropic, PBC via their Claude API. This information is used solely to generate your coaching session. As of the effective date of this policy, Anthropic automatically deletes API inputs and outputs within 7 days of processing and does not use API data for model training. Anthropic's current privacy practices are described at anthropic.com/privacy. We will update this policy if Anthropic's data handling practices change materially.

Your coaching history and all session data are stored in CaddieLabs' own database, not by Anthropic. The continuity of your coaching journey comes from our systems, not from the AI retaining memory of you.

3.2 Supabase (Database and Authentication)

Your account and all coaching data are stored using Supabase, a database service operating under its own privacy policy at supabase.com/privacy. Supabase stores your data on servers in the United States.

3.3 Stripe (Payment Processing)

Subscription payments are processed by Stripe, Inc. CaddieLabs does not store your payment card information. Stripe handles all payment data in accordance with PCI DSS standards. Stripe's privacy practices are described at stripe.com/privacy.

3.4 Rewardful (Affiliate Tracking)

We use Rewardful to track affiliate referrals. If you arrive at CaddieLabs through an affiliate link, Rewardful places a cookie on your browser to attribute the referral. This cookie does not collect personal information beyond what is necessary to credit the referring affiliate. Rewardful's privacy practices are described at rewardful.com/privacy.

3.5 Netlify (Hosting)

The CaddieLabs website and application are hosted by Netlify, Inc. Netlify may collect standard web server logs. Netlify's privacy practices are described at netlify.com/privacy.


4. How Long We Keep Your Information

We keep your account and coaching data for as long as your account is active. If you delete your account, we permanently delete your profile, all coaching sessions, session logs, and round data within 72 hours. This deletion cannot be undone.

We retain payment records for 7 years in accordance with applicable accounting and tax requirements. We may retain certain information longer where required by law or where necessary to enforce our Terms of Service.


5. Your Rights and Choices

5.1 Access and Correction

You can review and update your golf profile and account information at any time from within the app under Account Settings.

5.2 Account Deletion

You can permanently delete your account and all associated data from within the app under Account Settings. Deletion is processed within 72 hours and cannot be reversed.

5.3 Data Portability

You may request a copy of your personal data by contacting privacy@caddielabs.golf. We will provide your data in a machine-readable format within 30 days.

5.4 Marketing Communications

If we send marketing communications, you can opt out at any time by clicking the unsubscribe link in any email or contacting privacy@caddielabs.golf.


6. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate the Service and track affiliate referrals. Specifically:

  • Session cookies: required for the Service to function. These expire when you close your browser.
  • Authentication cookies: used to keep you logged in between sessions. These expire after 30 days.
  • Affiliate tracking cookies: placed by Rewardful when you arrive through an affiliate link. These expire after 90 days.

You can disable cookies in your browser settings, but doing so may affect your ability to use the Service. We do not currently use advertising cookies or sell cookie data to third parties.

We do not currently respond to browser Do Not Track signals, as there is no industry-standard interpretation of what Do Not Track requires.


7. Colorado Privacy Rights

If you are a Colorado resident, you have rights under the Colorado Privacy Act (CPA) including the right to access, correct, delete, and obtain a copy of your personal data, and the right to opt out of the sale of your personal data. We do not sell personal data. To exercise your rights, contact privacy@caddielabs.golf. We will respond within 45 days as required by the CPA.


8. International Users and GDPR

CaddieLabs is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States.

For users in the European Economic Area, the United Kingdom, or Switzerland, our legal bases for processing your personal information are:

  • Contractual necessity: processing required to provide the Service you have requested, including generating coaching sessions, managing your account, and processing payments
  • Legitimate interests: operating and improving the Service, preventing fraud, and ensuring security, where these interests are not overridden by your rights
  • Legal obligation: where processing is required to comply with applicable law
  • Consent: where you have explicitly provided consent, such as for marketing communications

EU, UK, and Swiss users have the right to access, rectify, erase, restrict, and port their personal data, and to object to processing. To exercise these rights, contact privacy@caddielabs.golf. You also have the right to lodge a complaint with your local data protection authority.


9. Data Breach Notification

In the event of a data breach affecting your personal information, we will notify you and relevant authorities as required by applicable law. For users in the European Economic Area, we will notify the relevant supervisory authority within 72 hours of becoming aware of a breach where required by GDPR. We will notify affected users without undue delay where the breach is likely to result in high risk to your rights and freedoms.


10. Children's Privacy

The Service is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact privacy@caddielabs.golf with sufficient information for us to locate the relevant records. We will delete the information within 72 hours of receiving a verified report.


11. Security

We take reasonable technical and organizational measures to protect your personal information, including:

  • Encrypted data transmission using HTTPS
  • Secure password hashing using industry-standard algorithms
  • Row-level security controls on our database ensuring each user can only access their own data
  • Authentication token management with automatic expiry
  • Periodic security reviews of our codebase and infrastructure

No method of transmission over the internet or electronic storage is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security.


12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service before the changes take effect. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Policy.
